Based on that context, Ollie delivers prioritized daily actions, drafts ready-to-send emails and messages, generates strategic recommendations, and creates sales documents. Optivian takes a fundamentally different approach: it builds deep, continuously updated context across every deal interaction and then acts on that context. Ollie doesn't just analyze calls. It understands the full deal lifecycle including stakeholder dynamics, qualification gaps, and competitive positioning, then executes on that understanding by generating business cases, mutual action plans, and prioritized daily actions.

Features and capabilities

Daily actions are up to three prioritized, deal-specific tasks that Ollie delivers to each rep every day. Ollie analyzes real engagement signals, deal health changes, and your overall strategy to determine what matters most right now. Each action comes with ready-to-use content like a drafted email, LinkedIn message, call prep notes, or internal briefing, so reps can execute immediately. If a deal's activity achieves the same outcome before the rep acts, the action auto-completes.

Optivian automatically extracts and scores MEDDPICC qualification criteria from every customer interaction, including emails, calls, meeting transcripts, and notes. Each field (Metrics, Economic Buyer, Decision Criteria, Decision Process, Identify Pain, Champion, Competition, and Paper Process) receives a score from 0 to 100 based on the evidence found. Scores update continuously as new interactions occur, and customer-sourced data is weighted more heavily than internal data.

Deal health scoring gives every opportunity an AI-calculated score from 0 to 100. The score is based on six weighted criteria: Customer Engagement (25%), Deal Progression (20%), Problem-Solution Fit (15%), Risks and Blockers (15%), Financial and Procurement Clarity (15%), and Strategy Execution (10%). Ollie explains the reasoning behind each score and highlights where deals need attention. Score changes can automatically trigger tasks, so your team responds to at-risk deals before it's too late.

Optivian generates three types of sales collateral grounded in your deal data. Value Summaries are one-pagers written from your champion's perspective to help them sell internally. Mutual Action Plans lay out 6 to 12 milestones with dual ownership between your team and the buyer. Business Cases provide full ROI and business justification documents. Each piece is auto-created when sufficient deal data is available, and reps can always generate, edit, or regenerate with custom instructions.

Closed deal analysis examines the full timeline of interactions for every won and lost deal, identifies specific win/loss reasons across 13 categories, and uncovers patterns that drove the outcome. These insights feed directly back into your active deals, improving task recommendations, strategy suggestions, and coaching opportunities. Sales leaders can use consolidated reports for QBRs, rep coaching sessions, and pipeline reviews.

Optivian comes with five pre-built task types (Daily Actions, Stale Deal Actions, Value Summary, Mutual Action Plan, and Business Case) that cover the most common sales execution needs. Beyond these, you can create fully custom tasks using natural language descriptions or a visual builder. Custom tasks use the same Context Engine and deal intelligence as the pre-built ones, with configurable triggers, target deals, and delivery channels.

The Context Engine is the intelligence layer that powers everything Optivian does. It connects to your CRM and continuously ingests every customer interaction: emails, call recordings, meeting transcripts, notes, and CRM field changes. Yes, always. Optivian suggests, your team decides. Every action, email draft, business case, and strategy recommendation requires human approval before anything is sent or shared externally. Reps can edit generated content, dismiss recommendations, or override AI suggestions at any point. Ollie is designed to accelerate execution, not replace human judgment.

Integrations

Optivian has native integrations with Salesforce and HubSpot, connecting via OAuth so Optivian never stores your CRM passwords. The integration syncs deals, contacts, emails, calls, meetings, and notes. Optivian also writes deal health scores and AI-generated summaries back to your CRM records. For Salesforce users, Ollie is available as an embedded Canvas app on opportunity pages. For HubSpot users, Ollie appears in the deal sidebar. Additional CRMs are evaluated with customers.

Security and privacy

Yes, Optivian is fully GDPR compliant and supports data subject rights requests. All customer data is stored within the EU. The platform enforces multi-tenant isolation, ensuring your data is completely separated from other customers. All connections use HTTPS/TLS with HSTS enforcement, and sensitive data is encrypted at rest.

No, never. Your customer data is only used to deliver your account's features under your contract. It is never used to train generalized AI models, shared with other customers, or used for any purpose outside of powering your Optivian instance.

Optivian supports Single Sign-On via Google Workspace or Microsoft Entra ID using the OIDC protocol. The platform provides role-based access control with three roles: Admin (full platform access), User (core sales features), and Manager (team-scoped access to deals and members). CRM connections use OAuth so Optivian never handles or stores your CRM passwords.
